Room Availability
Room availability cannot be checked beforehand over the phone and is not necessary to do; we fill every room request that we receive by substituting another room (this is the rule rather than the exception due to availability) and don't know what is available until the moment we get to your form in the queue. The availability in the rooms changes daily and is impossible to predict in advance.
Please note that the rooms you list as room choices on the request form are used mainly as a guide for us in choosing a room for you; they are checked first for availability, and if they cannot be used we check for similar rooms in the same building or area and reserve those if possible. You don't have to put down a room number in the room choice box if you don't want to, you can just put a building name and we will choose a room based on the number expected for attendance and/or any comments you type in requesting a room with any special attributes. The number of people expected at your meeting will always be an overriding factor in room assignments, as we cannot overload the capacity of a room due to fire codes.
