Outdoor Space Reservations

All academic and administrative units wishing to reserve outdoor space on campus must do so through the Student Activities area in the Office of the Dean of Students. Departmental reservation requests can be submitted up to one year in advance of a department's event.

In order to reserve outdoor space on campus, a departmental representative should send an e-mail to studentactivities@austin.utexas.edu with "Departmental Request" in the subject line. The following information should be included in this e-mail:

  1. The location of the campus space you are requesting.
  2. The start and end times of your event, including set up and break down times, if appropriate.
  3. A contact name and telephone number of the person responsible for the event. This person should be someone who will be available on the date of your request to handle any issues that may arise.
  4. A complete description of the event or activity.

Student Activities is only responsible for reserving the on-campus outdoor space you are requesting. Questions and concerns regarding university policy, facility services and other issues related to the event should be administered through your department.

The Institutional Rules on Student Services and Activities and Information on Students' Rights and Responsibilities are rules and regulations to guide and govern the interactions of the members of the University community. Student Activities assists in interpreting the Institutional Rules.

Travel

University academic and administrative units who are sponsoring student travel should follow the Student Travel Policy for University Organized or Sponsored Events. Questions regarding university organized or sponsored travel should be administered through your department or directed to the Vice President for Student Affairs office at 512-471-1133.
