Maintenance

Key and Key Assignments

All permanent keys will be assigned through the University Lock and Key Service Office, SER 101, 512-471-8640, consistent with existing procedures.

Permanent keys shall be issued only with the authorized signature for the agency housed in the building.

University keys may not be duplicated unless done with approval through the Lock and Key Service Office.

Keys may not be transferred from one individual to another except that a certain number of exterior door and grand master keys shall be issued to the Dean of Students Office for subsequent issuance to authorized students.

All keys must be surrendered upon termination of employment, resignation, re-assignment, or on request of the Director of the responsible agency.

Great Grand master key shall be issued to the building manager.

Assignment of grand master keys, master keys and general keys shall be determined by the Director of each agency housed in the building.

Maintenance Items

All routine maintenance items shall be sent to the building manager. Routine maintenance includes day-to-day items such as: lights out, too hot/too cold, locks, drains, broken glass, etc.

To report non-emergency repairs, contact the building manager during normal business hours 8 a.m. - 5 p.m., Monday through Friday at 512-232-2890.

To report emergency repairs - For after hours emergencies or if you cannot reach the building manager, you may report emergency repairs directly by calling 512-471-2020. (Rev. 10/2013)

The building manager shall catalog all requests, respond to the requests in a timely fashion and inform the person/department making the request the status of the item.

In order that an accurate record is maintained of structural changes, the building manager shall be notified when major construction or renovation projects begin.

Office Cleaning and Trash Pickup

The Facilities Services Department is responsible for contracting Varsity Contractors, which services the public areas and private offices. All restrooms and common areas (lobbies, reception areas, hallways, kitchens, breakrooms, conference rooms, etc) should be cleaned daily Monday - Friday. Trash and recycling in common areas should be picked up daily. If it is not inside a trash cn, the custodians will not remove it. Custodians will remove boxes clearly labeled as "Trash".

Occupants may take their trash and recycling to a central bin within their building, or set receptacles outside their office door between monthly service schedules.

Schedule is as follows:

4th floor offices - second Tuesday of each month

3rd floor offices - third Wednesday of each month

2nd floor offices - fourth Thursday of each month

1st floor offices - fourth Thursday of each month

Painting

Painting of office walls is scheduled on an as-needed basis (can be based upon time and/or usage: Marks/scuffs/holes, etc).

If a department requests painting of an office with an accent wall from the approved color chart, the department pays for the accent wall and the building's budget pays for White Pearl (the other three walls).

If a department requests repainting of an office wall from an accent color to the standard White Pearl, the department pays for this change unless it is time for regular maintenance repainting when the request is made.

Estimated cost to a department of an accent wall is $65.00

Pest Control

Departments housed within the building may request pest control services by calling the building manager at 512-232-2890, 8 a.m. - 5 p.m. Monday through Friday. In emergency situations, departments may contact Custodial Services at 512-471-2020, 8 a.m. - 5 p.m. Monday through Friday. The SSB building manager will provide 24-hour advance notice to the treatment area.

If you find a dead pest or other dead animal indoors (other than bats), contact Custodial Services at 512-471-5072. If you find a dead pest or other dead animal outdoors (other than bats), contact Landscape Services at 512-471-6888. If you find a bat, contact the Environmental Health and Safety 24-hour bat hotline at 512-471-2287.

The key to minimizing infestation by insects, rodents or other pests is to make the environment as inhospitable to pests as possible. Some primary control strategies include:
